The key question is the work we want to improve and the risks we can manage, rather than how many services we can subscribe to.

The problem: a broad decision before a clear need

One team may buy a tool and then search for a use. Another may prohibit all use and miss a useful trial. Between these positions is room for a limited decision that can be reviewed against clear results, with data protection and human responsibility.

Three possible paths

The first path is to defer adoption while developing the team’s ability to understand and verify outputs. It may suit an organisation that cannot yet protect its data or assign responsibility. The second is a small trial on a low-sensitivity task, such as drafting text from already public materials. The third is broad adoption across several activities, requiring resources for oversight, training, support and reversal.

We propose the second path as a starting point when its conditions can be met. This preference is an editorial judgement, not a conclusion from field measurements we have conducted. It should be tested and revised in light of the organisation’s experience.

The six questions

1. What problem are we addressing, and how is good work measured now? 2. What information will enter the tool, and what must be withheld? 3. Who reviews the output and decides whether to use it? 4. How will work continue if the service stops? 5. What is the full cost, including training and review? 6. How will we decide to continue or stop?

Designing a reviewable trial

Choose one task, one responsible person and a defined period. Keep a sample of work produced using the current approach, and compare it with an assisted sample against the same quality standard. Measure time including corrections, errors and rework. Drafting speed alone should not define success.

Use public materials or test data unrelated to real individuals. Document the limits of use, access and error reporting. Make stopping possible without disrupting essential work. Review the service’s terms and data handling before entering any non-public information.

When should a trial stop?

Stop if review costs outweigh the benefit, the team cannot interpret the errors or data protection becomes a concern. Expand gradually if the work improves against the agreed measures. These are proposed criteria for discussion and should be adapted to each organisation.

A reference and an invitation

UNESCO’s Recommendation on the Ethics of Artificial Intelligence offers a broad frame for transparency, fairness and human oversight. What would you add before testing a tool in your organisation?

An opening brief prepared with AI assistance. It is not an adopted official policy or a study of outcomes in particular organisations.

A discussion brief comparing three paths to adoption and proposing a limited trial with clear responsibility and reviewable measures.

[16

post-31","post","type-post","status-publish","format-standard","hentry","category-policies-en
["GET
